Booking Terms & Conditions
Beyond Experiences Pty Ltd trading as Evoke Experiences is a Sunshine Coast boutique events company specialising in bespoke experiences and events for corporate, luxury, and wellness groups. We aim to deliver experiences that our clients will look forward to, enjoy, and reîect on. Despite the fact that you are embarking on a carefree experience, there is still a serious side that we must address. The Evoke Experiences Booking Terms and Conditions aim to enhance your overall experience by bringing your attention to the requirements of the booking and the experience, as well as your responsibilities as the Client.
This is a legal document, and by confirming your booking with the payment of your deposit, you are agreeing to all of the included informationand the terms and conditions set by Evoke Experiences.
1. Agreement & Acceptance
By booking with Evoke Experiences, you agree to these terms and conditions. A booking is confirmed once payment is received, and all arrangements will be made accordingly.
2. Services & Inclusions
Evoke Experiences provides tailored luxury experiences as outlined in your booking. Any requested changes may be accommodated subject to availability and additional costs.
3. Payments & Fees
• A deposit is required to confirm your booking. Full payment must be received by the due date specified in your Payment Schedule.
• Deposit payments secure your booking and are non-refundable unless otherwise stated.
• Additional services or changes may incur extra charges.
4. Cancellations & Amendments
• Cancellations made more than 90 days before the event: 25% of the total fee is non-refundable.
• Cancellations made 30–89 days before the event: 50% of the total fee is non-refundable.
• Cancellations made less than 30 days before the event: 100% of the total fee is non-refundable.
• Date changes are subject to availability and may incur a rescheduling fee.
5. Client Responsibilities
Clients must provide accurate details and ensure all participants adhere to experience guidelines. Evoke Experiences is not liable for missed flights, delays, or failure to meet experience requirements.
6. Liability & Insurance
• Evoke Experiences is not responsible for personal injury, loss, or damage to personal property during the experience.
• Clients attend or participate at their own risk and are encouraged to obtain personal travel or event insurance.
7. Confirmation of Details
• No later than 30 days before the start date, the Client must confirm the number of attendees for each component of the experience. If not confirmed, the last provided number will be considered final.
• A venue’s terms of confirmation may override the above date
8. Termination by Evoke Experiences
• Evoke Experiences may terminate this Agreement if the Client becomes insolvent, bankrupt, or under external administration; fails to make payments as required; or breaches any provisions of the Agreement.
• If termination occurs, Evoke Experiences may seek payment for all amounts due, including reasonably incurred costs.
9. Indemnity
The Client agrees to indemnify and hold Evoke Experiences harmless from claims, damages, or expenses arising from participation in the experience, except where caused by Evoke Experiences’ negligence.
10. Force Majeure
If unforeseen events prevent the experience from taking place, Evoke Experiences will reschedule or offer credit for future use.
• Date transfers within 12 months may be offered, subject to supplier availability.
• A transfer fee of up to $500 may apply.
• Evoke Experiences reserves the right to cancel an event due to government orders or restrictions.
11. Intellectual Property
All materials, designs, and curated experiences remain the property of Evoke Experiences and may not be used or reproduced without consent.
12. Governing Law
These terms are governed by the laws of Queensland, Australia.
By confirming your booking, you acknowledge and accept these terms and conditions.
